Position Overview:
We are seeking a detail-oriented and proactive local Documentation Operator to join our team. You will be responsible for handling all vessel-related documentation for arrivals and departures, ensuring that all operations comply with the regulations and requirements of the Djibouti Port Authority, Customs, and other relevant government agencies. You will play a key role in ensuring smooth port operations and avoiding delays.
Key Responsibilities:
- Prepare, verify, and process all necessary vessel arrival and departure documents, including but not limited to manifests, bills of lading, cargo declarations, and crew lists.
- Communicate effectively with port authorities, customs, immigration, and health departments to submit required documents promptly.
- Ensure the accuracy, completeness, and timely submission of all documentation.
- Maintain close communication with the captain, ship owner, charterer, and internal operations team to provide timely updates on vessel status and document progress.
- Conduct secondary verification of Delivery Orders (DO) for each Bill of Lading.
- Maintain and update the document filing system to ensure records are easily accessible.
- Assist in handling customer inquiries related to cargo operations.
- Perform other duties as assigned by management.
Requirements:
Nationality:
Djibouti national or legally authorized to work in Djibouti.
Education:
- Diploma or bachelor’s degree in Logistics, Supply Chain Management, Shipping, or a related field is preferred.
Work Experience:
- At least 1–2 years of experience in documentation within a shipping company, ship agency, or freight forwarding company.
- This position is designed as a training track for a future Shipping Agency Department Supervisor; therefore, leadership and task delegation abilities are required.
- Fresh graduates with strong learning ability and passion for the shipping industry are also encouraged to apply.
Language Proficiency:
- Good command of English (both written and spoken), with the ability to handle maritime documents in English.
Skills:
- Proficient in Microsoft Office (especially Word, Excel, and Outlook).
- Familiar with the DPCS system.
- Knowledge of Delivery Order (DO) exchange procedures.
- Strong attention to detail, accuracy, and organizational skills.
- Excellent communication and interpersonal skills.
- Ability to work under pressure and handle multiple tasks efficiently.
- Strong problem-solving skills and teamwork spirit.
- Familiarity with UN cargo inspection procedures.
