Finance and Administrative Assistant à Djibouti
A.Responsibilities
The Finance and Admin Assistant for the Better Migration Management (BMM) Program is primarily responsible for:
Performing general clerical services, especially related to financial and administrative issue
Assisting BMM Finance and Administrative Coordinator with her tasks as instructed
Ensuring that financial and administrative services for the BMM program are provided correctly and in accordance with GIZ financial management and accounting procedures; and
Maintain a proper procedures folder with the relevant, up-to- date financial and administrative procedures for the BMM program.
The Finance and Administrative Assistant performs the following tasks, under the supervision of and in coordination with the finance and administrative officer:
B.Tasks
1.Financial
•Assists with creditor and debtor administration, including local subsidies and agreements with national appraisers
•Ensures the appropriate deduction of withholding tax and declaration of that monthly to the tax authority
•Conduct cash book and bank book management
•Undertakes various administrative aspects of financial management, including but not limited bank withdrawals, and Check preparation;
•Complies bank reconciliation and petty cash reporting on, at least, a monthly basis; and
•Stores, arrange, index and classifies various BMM financial records
2.Administrative
•Facilitating the development of filing systems for BMM administrative and financial documentation and maintains these files to meet relevant administrative, legal, and financial requirements;
•Purchases office equipment and supplies within set value limits;
•Photocopies and scans documents, as needed;
•Organises and compiles program-specific visibility, information ,and research materials, as directed;
•Labels files in accordance with GIZ filing rules;
•Completes forms and tables in accordance with specific instructions;
•Helps prepare and documents service requests and related inquiries;
•Book Flights and makes Hotel and other travel reservation, as directed and in close cooperation with relevant BMM staff members; and
•Maintain the BMM filing system, under the close supervision of the Finance and Administrative Coordinator.
•Check the log book filled and the FMS
•Organise all the application official journey(boarding pass/settlement travel expenses)
3.Other Duties and tasks
•Assists other colleagues as needed in the BMM programme or office;
•Travels to other BMM offices to assist, as needed; and
•Carries out other office work on request
C.Required qualifications, competences and experience
Qualifications
•Certificate/ diploma, or similar qualification from a recognized university or college;
•Excellent written and verbal communication skills; and
•Strong organizational skill;
•Substantial experience using information technology (IT) tools, such as Microsoft applications, e-mail, and the like.
Professional experience
•At least 2 years’ of professional experience in a comparable position
Other knowledge and, additional competencies sought
•Strong written and spoken English
•Fluency in French, and Knowledge of a knowledge local language would be a plus;
•Willingness to upskill as required; and
•A knowledge of accounting software would be desirable
